HR Specialist

We’re now looking for a dynamic and detail-oriented HR Specialist to join our growing team. This new role will give the successful candidate the chance to drive the company’s visions forward using best practices, knowledge and resources.

Main Job Tasks and Responsibilities:

  • Coordination of the Induction and Guidance program for new employees;
  • Drawing up specific legal documents: individual labor contracts, additional documents, decisions, certificates, requests, statements, etc.;
  • Ensure the relationship with the clinic responsible for occupational health and safety;
  • Ensures the relationship with the accounting firm and transmits in a timely manner all the documents requested by them;
  • Preparing, checking and archiving the personnel files;
  • Keep track of presence at work;
  • Keep records of medical leave, invoices, holiday leave;
  • Effective management of conflicts between employees;
  • Proactive project planning: interaction with agencies and external organizations;
  • Processing incoming mail;
  • Creating and distributing documents;
  • Providing customer service to organization employees;
  • Maintaining computer system by updating and entering data;
  • Maintaining calendars of HR Manager;
  • Compiling reports and spreadsheets and preparing spreadsheets;

Payroll and Benefits Administration

  • Processing payroll, which includes ensuring vacation and sick time are tracked in the system; Answering payroll questions;
  • Facilitating resolutions to any payroll errors;
  • Participating in benefits tasks, such as claim resolutions, reconciling benefits statements, and approving invoices for payment.

Record Maintenance:

  • Maintaining current HR files and databases;
  • Updating and maintaining employee benefits, employment status, and similar records;
  • Maintaining records related to grievances, performance reviews, and disciplinary actions;
  • Performing file audits to ensure that all required employee documentation is collected and maintained;
  • Performing payroll/benefit-related reconciliations;
  • Performing payroll and benefits audits and recommending any correction action;
  • Completing termination paperwork and assisting with exit interviews.


  • Problem-solving, including being able to identify issues and resolve programs in a timely manner;
  • At least 1 year of HR experience;
  • Strong interpersonal skills;
  • To communicate clearly, both written and orally, as to communicate with employees, members of the HR management team, and in group presentations and meetings;
  • English advanced level;
  • Must be able to prioritize and plan work activities as to use time efficiently;
  • Must be organized, accurate, thorough, and able to monitor work for quality;
  • Must be dependable, able to follow instructions, respond to management direction, and must be able to improve performance through management feedback.
